Terms of Sales

Culture voyage inde  defines its conditions of sale according to the specificities of its trips. It offers standard programs which constitute a basis from which tailor-made quotes are established.

Only the conditions of sale present on the website of culture voyage inde in India are applicable.

Any registration for one of our trips implies unreserved acceptance of these conditions of sale.

Culture voyage inde is a company incorporated under Indian law. In the event of a dispute, the parties submit to the Indian jurisdictions and local law applicable in the matter.

1. Registration and payment 

  • Registration for our trips is done with our company by email or via our website by completing our online form.
  • Our quotes include the price of accommodation, transport, activities, guides and taxes overall. The total amount is indicated in euros or in the currency of your country.
  • Any quote not confirmed within 7 days may be readjusted. Your registration is only final upon receipt of the deposit and your duly completed information sheet.
2. Payment terms 

  • All registration forms must be completed by the participant before being returned to Culture voyage inde by email. Customers are responsible for the correct spelling of the first and last names written on the form. They must comply with the data on the passports. We ask that you send us a scan of the first pages of your passport to be able to make your reservations.
  • Culture voyage inde will send you by email: a registration confirmation (including the invoice for the total amount of the trip), our bank details, the possible payment methods (international transfer or via Transferwise), the amount of the deposit to be paid then the balance , as well as our conditions of sale. 
  • The payment terms are as follows:
  1. If travel dates are planned less than 45 days after registration: Payment: 100% of the amount

  2. If travel dates are planned more than 45 days after registration: deposit: 35% upon registration, at the latest 30 days before arrival: 65%

  • An email indicating the amount of the balance remaining to be paid will be sent to you after receipt of the deposit amount and once the reservations have been finalized.
  • Any delay in payment of a deposit or balance may be considered a cancellation.

Attention :

  • In India, a hotel reservation is only real when the hotelier has received the check for the full amount. If a hotel indicated is no longer available at the time of booking, it will be replaced by a hotel of the same category.
  • Availability of air and rail transport is also limited in busy areas. This is why we ask you to kindly send us the deposit without delay, so that we can reserve hotels and transport as quickly as possible.
  • After registration, the price of the trip can still be changed if the price of domestic flights booked on the effective date exceeds the price of our quotes. The exact price charged to the customer will be that paid at the time of booking. The additional price will be invoiced with the balance.
3. Travel information: administrative and health formalities

Before registering to travel, you must verify that you are in possession of a valid passport or other document that meets the requirements for transit and/or entry into India.

Attention :

  • For India, the passport must be valid for more than 6 months after the date of return and must contain at least 3 consecutive blank pages for visa application.
  • The procedures for obtaining a visa are the responsibility of the client.
  • A traveler who cannot board a flight due to failure to present police, customs and/or health documents will not be able to claim any reimbursement of the price of their trip.

4. Flights 

4.1 – International flights

Culture voyage inde does not handle international flight reservations. The agency cannot be held responsible for the consequences linked to a delay or possible cancellation of a flight.

4.2 –  Domestic flights

  • In accordance with regulations, airlines may be required to modify schedules and itineraries without notice. In the event of delay, strike, technical, political or climatic incidents, flight cancellation, loss of baggage, the traveler will contact the airline in the event of a dispute and/or to obtain compensation. culture voyage inde is not responsible for these unforeseeable events.
  • We advise travelers who are dependent on a train or domestic flight before an international flight to return to the return airport city the day before their departure to avoid any problems due to delays.
5. Changes 

5.1 – Modifications requested by the customer before departure

  • Once reservations have been made, any changes by the customer will incur a modification fee. These may rise up to 100% depending on the changes requested (e.g.: non-refundable plane tickets, last minute change of hotels, modification of the departure or return date, modification of the city of arrival in India or departure from India) Changes will be made based on availability.
  • Agency fees for any modification request are 30 euros.
  • Your refusal to pay this price adjustment will be considered a cancellation.

5.2 –  Modifications during the trip by the agency

If circumstances require it, to ensure the safety of travelers, for weather reasons, unforeseen events (cancellation of domestic flights, closed roads, etc.),culture voyage inde reserves the right to replace one means of transport, accommodation, itinerary with another and to modify departure dates/times. Travelers will not be able to claim compensation.

6. Cancellation conditions and fees 

If you are forced to cancel your trip, you must inform culture voyage inde by any written means, allowing for an acknowledgment of receipt, as soon as the event giving rise to this cancellation occurs. It is the date of issue of the writing which will be used as the cancellation date for the invoicing of cancellation fees.

6.1- Total cancellation fees

Up to 7 days before your departure

  • Train journeys are reimbursed except for the railway company’s cancellation fees.
  • Hotel nights are reimbursed according to the hotels’ cancellation conditions. Which means that if a hotel refunds us the full or partial amount, we will refund that amount to you.
  • If you go with a guide for the entire duration of your trip, or if you have requested a car rental with driver, we will reimburse you up to 50% of the amount.
  • If you have requested the services of a local guide or driver for part of your trip, or a transfer, there is no refund possible.

Less than 7 days: 100% of the total amount will be retained.

In all cases :

  • We do not reimburse the agency commission and we charge an additional €100 for cancellation fees.
  • Airline tickets for domestic flights are not refunded regardless of the cancellation date.
  • Activities (cooking classes, boats, shows, safaris, etc.) are not reimbursed.
  • Note that the cancellation conditions above do not apply when booking luxury establishments or during Christmas or New Year evenings or in the event of parties, fairs or festivals. In this case, no refund possible.

If the traveler does not show up at the airport on the day of departure, he cannot request a refund from the agency. Any trip interrupted or shortened by the participant for whatever reason does not give rise to any reimbursement from the agency.

6.2- Refunds

  • Any refund procedure will take between 30 and 45 days.
  • Travelers will be refunded either via Transferwise or by transfer, but transaction fees are the traveler’s responsibility.
  • A letter from the participants’ insurance company indicating the refusal of reimbursement will be requested.

6.3- Case of partial cancellation of a group participant

  • If one or more travelers registered in the same file cancel their trip and the other participants in the same trip maintain it, the scale indicated in the previous paragraph applies to unused and nominative services (single room for example).
  • For services shared by the whole group, there is no reimbursement.
7. Travel insurance

  • culture voyage inde Being a local agency located in India, we cannot offer travelers travel insurance. We strongly advise you to take out a contract in your country. Check that your contract covers you in the event of repatriation, accident, civil liability. Some contracts cover medical expenses, loss or theft of baggage, and cancellation of a trip.
  • We remind you that with bank cards, in particular the Premier card or equivalent, travel insurance is included in the services. Contact your bank for more information.
  • In all cases, remember to take with you when traveling a copy of your contract (and especially the contact details of your personal insurance), because you are responsible for reporting claims to the insurance company. In the participant information sheet, you are asked to give us information concerning your insurance and the people to contact among your loved ones in the event of an accident.
8. Minors

Culture voyage inde accepts to register travelers who have reached the age of at least 18 and minors accompanied by their parents. For minors traveling with one of the parents, guardians or other adults, you must have the necessary documents for the minor accompanying you.

9. Liability

  • culture voyage inde cannot be held responsible for the consequences of events external to it, in particular: failure to present or presentation of identity and/or health documents that are expired or have insufficient validity (national identity card, passport, visa, certificate vaccinations, etc.) or do not comply with the information on the registration form, and/or at the customs police or registration station. In the event of failure to register (including delays in boarding), 100% of the total amount of services will be withheld.
  • culture voyage inde cannot be held responsible for the loss or theft of travelers’ luggage, transport tickets given to you, loss of passports or personal effects.
  • The agency cannot be held responsible for unforeseeable incidents or events such as: political unrest, strikes, riots, attacks, measures taken due to a pandemic, technical or administrative incidents external to culture voyage inde, airspace congestion, bankruptcy of a service provider, bad weather, natural disaster, delays, breakdowns.
  • Itinerary/program modifications resulting from the previous conditions cannot result in any total or partial refund from Iculture voyage inde, in particular due to a change in the duration of the trip initially planned or a delay at an air stopover. If a route is not feasible, culture voyage inde will use the amounts committed but not spent to offer you an alternative route. 
  • In the case of safaris in animal reserves, the agency is not held responsible if travelers cannot observe the expected animals (tigers, elephants, etc.). The same applies in the event of bad weather in places where travelers plan to observe the sunrise or sunset. Finally, the agency is not held responsible in the event of exceptional closure of a monument (for an official visit or work for example).
  • Culture voyage inde cannot be held responsible for accidents due to the carelessness of a participant.
10. After-sales

Any complaints should be addressed to Culture voyage inde by registered letter with acknowledgment of receipt within a maximum period of 30 days following the date of return from the trip, accompanied by supporting documents. Disputes, if any, are subject to Indian law and the courts of Jaipur.
